Supervisor FAQs



User Registration

How do I register as a supervisor for multiple institutions and/or placement sites?

You should register for one account only, even if you provide supervision for multiple institutions or across multiple placement sites.

To add multiple institutions, select the text field under ‘Select Education Institutions you are associated with’ and type the relevant institution. The institution will come up and you can select it to add it to the list of institutions you are associated with. Continue this process until all your institutions are listed.


Profile

How do I change my personal / professional details?

Your personal and professional details can be changed in the ‘Profile / Password’ page found under your name icon in the top right corner.

How do I change my password?

Your password can be changed in ‘Profile / Password’ page found under your name icon in the top right corner.

How do I add additional institutions to my profile?

Additional institutions can be added in the ‘Profile / Password’ page found under your name icon in the top right corner. Select the text field under ‘Select Education Institutions you are associated with’ and type the relevant institution. The institution will come up and you can select it to add it to the list of institutions you are associated with.


Creating and Editing Placements

How do I view my placements?

Your ‘Placements list’ is under ‘Assessments’, which is displayed in the upper right corner next to your name icon.

How do I create a placement?

It is the trainee’s responsibility to create the placement. Once a placement is created it will automatically show up on your ‘Placement list’ under ‘Assessments’.

How do I edit an existing placement?

Follow these steps:
1. Select the pencil icon to the left of the relevant placement.
2. Edit the relevant details and select ‘submit’.
3. Once you have made changes to a placement, these will automatically reflect on the trainee’s placement view.


Placement Assessments

How do I complete a placement rating?

Follow these steps:
1. Select the white ‘Not Started’ icon under ‘Mid Placement Rating / End Placement Rating’ for the relevant placement listing.
2. Navigate through the sections, answering the questions and selecting ‘Save’ at the bottom right corner to proceed to the next section. Selecting 'Save' will lock the rating at that section so you will not be able to go back and edit your responses.
3. The 'Placement Details' and 'Placement Progress' sections will not lock when you select 'Save', so you can choose to leave questions blank on these sections and come back to them later before finalising the rating.
4. Once you have completed all questions, select ‘Finish’ at the bottom right corner of the final page to finalise and lock the rating. Once you have finalised and locked the rating you will no longer be able to edit it.
5. Once you have finalised and locked the rating, you will be taken to the report for that rating. At the top of the report page you will need to select ‘Yes’ to ‘Release Report to Trainee’ to release the report to the trainee. You can also select ‘Not Yet’ if you wish to continue to hide the report from the trainee. You can come back to the report page at any time to release the report to the trainee.

How do I release a finalised report to my trainee?

If you have finalised a rating yet it is still appearing as a white 'Unavailable' icon on your students' placements list, you may not have released the report correctly. You will need to navigate to the placement report page, by selecting the green 'Finished' icon on your placements list, and select 'Yes' to the 'Release report to trainee' question above the report.

How do I save an unfinished rating?

Selecting ‘Save’ at the bottom right corner of a page will save and lock the rating at that section. You cannot save a rating partway through a section.

How do I resume an unfinished rating?

Follow these steps:
1. Select the white ‘In Progress’ icon under ‘Mid Placement Rating / End Placement Rating’ for the relevant placement listing.
2. Select the blue ‘Sections’ icon in the top left corner to navigate to the where you last saved the rating.

What if I've made a mistake on a finalised rating?

If you have made a mistake on a rating and would like to change it, contact the trainee’s Clinic Director / Placement Coordinator who will be able to edit the rating. 

How do I add additional supervisors to a rating / report?

You can add any additional supervisors you would like included on the final report in the ‘Placement Details’ section. Any names included here will appear as text on the finalised report for that rating.

Note: additional supervisors cannot view or edit placements / placement ratings directly. Any comments from additional supervisors can be added to the final report by the Primary Supervisor in the 'Additional Supervisor Comments' box in the 'Placement Progress' section.

How do I release a rating to the trainee?

You can select ‘Not Yet’ if you wish to continue to hide the report from the trainee. You can come back to the report page at any time to release it to the trainee.

How do I view a completed placement rating?

Select the green ‘Finished’ icon under ‘Mid Placement Rating / End Placement Rating’ for the relevant placement listing. This will display the report for this rating. You can also select the blue ‘Sections’ icon in the top left hand corner to navigate through the various completed sections, however once the rating has been finalised these sections will be locked and will be unable to be edited.

Why has a placement disappeared from my placements list?

A placement will no longer appear in your placements list if you are no longer the primary supervisor on that placement. If you believe that you have been incorrectly removed from a placement, contact the relevant trainee to re-assign you to the placement.

How do I view a trainee’s mid and/or end placement self-assessments?

Self-assessments do not currently apply to the PCAM (MPP) placement reviews. Self-assessments are only available for the VMAT–C?PRS (Clinical Psychology) placement reviews.

A trainee’s mid or end placement self-assessment will become available only once you have finalised the relevant placement rating (mid or end placement) for that trainee.

If you have completed the relevant placement rating (and the trainee has completed the associated self-assessment) select the green ‘Finished’ icon under ‘Trainee Self Assessment (Mid Placement)’ or ‘Trainee Self Assessment (End Placement)’ for the relevant placement listing. If this is appearing as a white ‘Incomplete’ icon it means that the trainee has not completed the self-assessment. If this is appearing as a white ‘Unavailable’ icon it means that you have not finalised the relevant placement rating.


Troubleshooting

I can't view my placements

Your ‘Placements list’ is under ‘Assessments’, which is displayed in the upper right hand corner next to your name icon. It is the trainee’s responsibility to create the placement. Once a placement is created it will automatically show up on your ‘Placements list’.

I am not showing up for students

The relevant institution may not be included as one of your linked institutions. Navigate to the ‘Profile / Password’ page found under your name icon in the top right corner. Select the text field under ‘Select Education Institutions you are associated with’ and type the relevant institution. The institution will come up and you can select it to add it to the list of institutions you are associated with.

My trainee cannot access the finalised placement rating

If you have finalised a rating yet it is still appearing as a white 'Unavailable' icon on your students' placements list, you may not have released the report correctly. You will need to navigate to the placement report page, by selecting the green 'Finished' icon on your placements list, and select 'Yes' to the 'Release report to trainee' question above the report.

I need to change a finalised rating

If you have made a mistake on a locked rating and would like to change it, contact your Clinic Director / Placement Coordinator who will be able to edit the rating. Note that you must finalise the rating before any changes can be made.

I am unable to access my account

Select 'Forgot Your Password' on the login page. Check your spam/junk folder for a reset password link.

If you still cannot access your account, contact admin@placementreview.net. Do not create duplicate accounts on the system.

How do I transfer a placement to a new Primary Supervisor?

A placement listing can be transferred to a new primary supervisor by selecting the pencil icon on the relevant listing and editing the 'Primary Supervisor' field. This can be done by either the existing Primary Supervisor or a Placement Coordinator for that institution. Changing the Primary Supervisor will transfer all placement data to the new Supervisor.


Technical Issues

If you are experiencing technical issues, try using a different computer or web browser. The Placement Review platform is best run on Chrome or Firefox. Try to avoid using old versions of Internet Explorer.

Registration

What email address should I use for registration?

You must register with your official university student email address.


Profile

How do I change my personal / study details?

How do I view my placements?

Your ‘Placements list’ is under ‘Assessments’, which is displayed in the upper right corner next to your name icon.

How do I create a placement?

Follow these steps:
1. Navigate to your ‘Placements list’ under ‘Assessments’.
2. Select ‘+ New Placement’ and enter the placement location, hours, start and end date, and supervisor details. Note: If your placement site is not included in the drop-down list of placements, you can add this as a new site by typing the site name in the free text box and selecting enter.
3. Select ‘submit’ and the placement will appear on your Placements list as well as on your primary supervisors Placements list.

How do I edit the details of an existing placement?

Only supervisors can edit existing placements. If you have made a mistake on an existing placement or need to make changes for any reason, contact your supervisor to request these changes. Once your supervisor has made changes to a placement, these will automatically reflect on your placement view.

How do I assign my placement to my supervisor?

Once you add your primary supervisors’ name in the primary supervisor field and select ‘submit’, the placement will automatically be assigned to your supervisor.

How do I include additional supervisors on the placement?

Your primary supervisor will add the names of any additional supervisors when they complete your placement ratings.

How do I change my primary supervisor on an existing placement?

If you have chosen the incorrect primary supervisor on a placement, you will need to contact your University Clinic Director or Placement Coordinator to request to have this changed. Your University Clinic Director / Placement Coordinator can then decide to either change the primary supervisor on the existing placement or delete the placement and have you start over by creating a new placement with the correct primary supervisor.

Why is my supervisor not showing up?

If your supervisor does not appear on the supervisor list, they may need to create an account OR associate themselves with your training institution. Contact the supervisor and ensure they have an account AND have included your institution in their profile.

To check included institutions, your supervisor can navigate to the ‘Profile / Password’ page found under the name icon in the top right corner. Select the text field under ‘Select Education Institutions you are associated with’ and type the relevant institution. The institution will come up and they can select it to add it to the list of institutions they are associated with.


Placement Assessments

How do I view my placement ratings?

Your placement rating will become available once your supervisor finalises and releases the rating to you. Once your supervisor has released your rating, select the green ‘Finished’ icon under ‘Mid Placement Rating / End Placement Rating’ for the relevant placement listing. If this icon is appearing as a white ‘Unavailable’ icon it means that your supervisor is yet to finalise and/or release the Rating.

Why am I unable to view my finalised placement rating?

If your supervisor has finalised your rating yet it is still appearing as a white 'Unavailable' icon on your placements list, they may not have released the report correctly. Your supervisor will need to navigate to the placement report page, by selecting the green 'Finished' icon on their placements list, and select 'Yes' to the 'Release report to trainee' question above the report.

How do I complete my self-assessments?

Self-assessments do not currently apply to PCAM (MPP) placement reviews.

Self-assessments are only available for VMAT–C?PRS (Clinical Psychology) placement reviews. Follow steps below to complete this.

1. Select the white ‘Not Started’ icon under ‘Trainee Self Assessment (Mid Placement)’ or ‘Trainee Self Assessment (End Placement)' for the relevant placement listing and time point.
2. Navigate through the sections, answering all questions and selecting ‘Save’ at the bottom right corner to proceed to the next section. You can also select the blue ‘Sections’ icon in the top left corner to navigate to different sections.
3. Once you have completed all questions on the final page, select ‘Finish’ at the bottom right corner to finalise and lock the assessment. Once you have finalised and locked the assessment you will no longer be able to edit it.

How do I save an unfinished self-assessment?

Selecting ‘Save’ at the bottom right corner of a page will save the assessment at that section. You cannot save an assessment partway through a section.

Can my supervisor view my self-assessments?

Your supervisor can only view your completed self-assessment AFTER they have completed the end placement rating for your placement.


Troubleshooting

My supervisor is not showing up
